The Trade Show is sold out

We invite you to be a part of SARscene, the only national search and rescue event in Canada. Exhibiting at SARscene provides your organization with a unique opportunity to maximize corporate visibility, showcase your products and services, and build a personal connection with the SAR community.

If you want to showcase your products and services to the Canadian and international search and rescue community, then the tradeshow at SARscene is the place to be! Meet and network with key decision-makers; search and rescue staff and volunteer responders and trainers; air, ground and marine search and rescue stakeholders and responders; military and law enforcement personnel; emergency management stakeholders; research and data.

SARscene 2011 includes an expanded trade show area with plenty of room to display vehicles and equipment. The trade show is a key feature of the conference and a central gathering point where delegates interact with exhibitors. To ensure exhibitor visibility, the lunches and refreshments breaks during the conference will be served in the trade show area, and time to visit the trade show throughout the day has been built into the conference program.

Guest Passes

To further enhance your experience at SARscene and to engage with your local clients, we are offering up to 5 Guests Passes per exhibitor for entry into the trade show. Invited guests will receive a guest badge which they will be required to wear at all times while in the conference area. To receive the Guest Passes, exhibitors must provide a list with the names of their invited guests to the Trade Show Manager before October 14, 2011 by contacting Stephane Bachand, SARscene Trade Show Manager by email Stephane.Bachand@nss-snrs.gc.ca or by telephone (613) 992-8215. Invited guests can pick-up their guest badge at the SARscene registration desk during show hours.

SARscene 2011 program information – Exhibitor Profile

The SARscene 2011 conference program will include contact information for your organization (telephone, fax, internet site and e-mail etc.) along with your company logo and a 50-word description of your products and services. The deadline for submitting your exhibitor profile information for the conference program is Friday September 16, 2011.

Registration Fees

Notice of rate changes

We have received a number of inquiries related to the early-bird discounted registration deadline. Many are experiencing administrative delays in obtaining travel approval from their employers due to fiscal constraints and restricted travel budgets. In order to accommodate as many delegates and exhibitors as possible, we are extending the early-bird discounted rate and making changes to the registration rates as follows:

  • Discount "Early-bird" registration rate extended to 16 September 2011
  • Regular registration rate will begin 17 September until 17 October.
  • No on-site registration.

Additional National SAR Awards of Excellence banquet tickets

In honour of the 25th anniversary of the National SAR Program and the National Search and Rescue Secretariat, we are offering banquet tickets at the special cost of $25 each. Ticket includes a full three-course meal with appetizer, entree, dessert, tea/coffee, presentation of the National Search and Rescue Program Awards of Excellence.

  • Tickets must be purchased prior to 17 October 2011 as there will be no on-site ticket sales.
  • Please use the conference Registration Form to purchase your banquet tickets (see Registration Fees section).

Going Green

The National Search and Rescue Secretariat and its co-hosts are making a conscious effort to reduce the environmental footprint of SARscene. The SARscene Planning Committee is implementing, wherever possible, environmentally preferable features and practices at the SARscene Conference. We ask that exhibitors also consider the environmental impact of their exhibits and give-aways.

Payment of Fees

The registration fee (early, regular) corresponds to the date on which payment is received and not the date on which the registration form is received. Registrations will not be processed or confirmed until payment in full is received.

Methods of Payment

Payment of registration fees will be accepted by MasterCard® or Visa® credit cards only. Other credit cards or cheques are not accepted.

Please note that the charge for this transaction on your credit card statement will show as: "DMPAP AP 3, RGDF".

Federal Government Attendees

Payments from employees of Canadian federal government departments and agencies must be made through Federal Interdepartmental Transfers (FIT). Federal government employees must provide financial coding on the registration form.

Registrations will only be confirmed upon receipt of the form with the complete financial coding.

Financial Charges

Please note that all financial charges and/or exchange rate charges incurred in payments are the responsibility of the sender and will not be paid by the Conference.

Confirmation of Registration

When your registration form is received, you will receive an email acknowledging that we have received the form.

Cancellation Policy

Notice of cancellation must be made in writing to the NSS:

  • Exhibitor Registration Fees
    Prior to October 1st, 2011: Full refund
    On or after October 1st, 2011: No refund

  • Banquet tickets
    Prior to October 1st, 2011: Full refund
    On or after October 1st, 2011: No refund

Substitutions

You may make staffing substitutions up until October 1st, 2011 without penalty upon written notice to the NSS.

Privacy Statement

The SARscene Conference is managed by the NSS. We collect only the amount of personal information that is necessary for the purposes of registration, administration and promotion of SARscene, to assist in the preparation of SARscene and for the purposes of responding to inquiries.

Authorization for Use of Photography, Audio-Video and Reproductions

By registering and/or attending this event, you authorize the NSS, its employees and official co-hosts to use photographs, images and/or audio-video materials of SARscene without further explicit authorization. The materials are intended for promotional, educational, administration and information purposes only.
